Guide to Email Automation
Many Close.io customers want to create drip email campaigns and have questions about the topic. First, let’s understand what type of email automation you really need. We hear the term “drip email” used to describe a whole host of automated or sequenced customer communications. It’s important to define your needs in order to choose the correct tool.
There are 3 categories of email automation that you might need depending on your use case:
1. Sales Emails Automation
We define this as automated, cold emails sent on a specific timeline or in a sequence (often referred to as a cadence or a campaign). The goal is to drive engagement by sending relevant, personalized emails to prospects that you've previously had no contact with.
- Day 1: Email 1 – Intro email.
- Day 3: Email 2 – Follow-up email.
- Day 5: Email 3 – Breakup email.
You can send these types of emails in Close.io by using Bulk Email and Email Templates. You can even set up the above sequence using Smart Views, see the video here. However, you must manually click the send button.

Quickmail.io: this tool allows you to set up a sequence in Quickmail and add contacts from within Close.io using custom fields on each lead’s page. You can also view notes and updates for each sequence from within Close.io itself. Here’s more on how to set up that integration.
Dripemails.com: this tool was built completely around Close.io by one of our customers. Connect your Close.io account and define sequences by using your Close.io email templates. You choose the sequence name and send from the lead page or from Close.io’s bulk email feature. More on that here.
Prospect.io: this tool allows you to create sequences of emails from its tool and if a prospect responds to your cold email, Prospect.io will create a new lead in Close.io automatically. You can read more on that integration here.
Another option for sales email automation is to connect Close.io to a third party provider by using Zapier.com. We recently connected Close.io to Woodpecker.co using the triggers that Zapier.com provides. There are step-by-step instructions on accomplishing that here. While this is slightly more complicated than using a native integration, it gives you a lot of flexibility in choosing a tool that’s right for your business. No technical resources or coding necessary!
2. Transactional Emails
We define this as automated emails triggered by user behavior or actions within in your own application. These are real time emails, personalized based on an individual taking an action or even inaction. Typically these are not bulk emails and these tools need to be integrated directly with your internal application and not Close.io.
Example: A user signs up for your service, and you send them a series of onboarding emails/product guides.
Example: A user hasn’t uploaded any data into your app after having it for a few days, so an email is sent with step-by-step upload instructions.
Customer.io: this tool allows you to set up triggered emails based on customer behavior. Once you plug in your SMTP credentials, emails sent from Customer.io will be logged in Close.io. Intercom.io: this tool allows you to create targered email and in-app messages and has a custom SMTP feature. They have other helpful products that integrate with Close.io, including customer support.
3. Marketing Emails
We define this as automated emails containing blog and educational content, product announcements or newsletters, and promotional offers. The purpose of marketing emails is to build brand and customer loyalty and to acquire more customers.

Drip: marketing automation software used to capture leads through your website and landing page providers, and nurture them via email marketing. There is an integration with Close.io, and you can get the steps on how to do that here.
Hubspot, Marketo: known for marketing software with dozens of types of triggers, conditions, and actions to make your campaigns hyper specific, along with great analytics. You can integrate with Close.io through Zapier.com or Bedrockdata.com
Mailchimp: You can export a list of leads from Close.io to use to send your newsletters, and have replies autoforwarded to your secret email address that will then sync responses within Close.io. Instructions on how to do that here.
