Email templates

Also known as 'canned responses' Email Templates are great for sending quick common email responses to contacts within Close.io. Email Templates are extremely easy to set up, and can be shared with your entire organization for consistent communication to your customers. Answering common questions, sending product information, and follow ups are some of the best use cases.

Setting Up Email Templates

In your account settings (click your name in the top right, and select "Settings"), you will see a section called "Email Templates". You will then see all of the current templates your organization is using and an option to create a New Template at the bottom.

On the New Template page, you are able to name the template for internal reference, add an email subject, body, and add attachments. You can also choose if you want to share the template with your organization or keep it private.

Template tags can be inserted by clicking the wand icon for a dropdown of template tags that you can insert with a click.

Using Email Templates

You can select any Email Templates any time you're about to send an email within Close.io. Just click the "Email" button and select your email template to the right of the Subject field.

Email Template Tags

A great way you can personalize your Email Templates is by adding tags. Tags will pull individual lead or contact information and embed it into the email automatically.

Default Template Tags:

  • {{organization.name}} - The name of your organization.
  • {{lead.display_name}} - The name of the lead on the top left of the lead page (company name, or contact name if there's no company name).
  • {{lead.name}} - The name of the company you are emailing, if there is one.
  • {{contact.name}} - The full name of the person you are emailing.
  • {{contact.title}} - The title of the person you are emailing.
  • {{contact.first_name}} - The first name of the person you are emailing.
  • {{contact.last_name}} - The last name of the person you are emailing.
  • {{contact.primary_phone.phone}} - The primary phone number of the contact.
  • {{contact.primary_email.email}} - The primary email address of the contact.
  • {{contact.primary_url.url}} - The first URL of a contact
  • {{lead.url}} - The url on the lead page listed under company name.
  • {{lead.description}} - The description on the lead page listed under company name.
  • {lead.status_label}} - The current status of the lead.
  • {{lead.primary_address.address_1}} - The first part of the lead's address.
  • {{lead.primary_address.address_2}} - The second part of the lead's address.
  • {{lead.primary_address.city}} - Lead's primary city.
  • {{lead.primary_address.state}} - Lead's primary state.
  • {{lead.primary_address.zipcode}} - Lead's primary zip code.
  • {{lead.primary_address.country}} - Lead's primary country code.
  • {{lead.primary_address.country_name}} - Lead's primary country name.
  • {{user.from_name}} - The sales person's full name (as indicated on the email settings page).
  • {{user.from_email}} - The sales person's email address (as indicated on the email settings page).
  • {{user.email}} - The sales person's close.io account email address (as indicated on the profile page).
  • {{user.phone}} - The Close.io phone number for the user that is sending the email (Pro accounts only).
  • {{user.full_name}} - The sales person's full name (as indicated on the profile page).
  • {{user.first_name}} - The sales person's first name (as indicated on the profile page)
  • {{user.last_name}} - The sales person's last name (as indicated on the profile page

Custom Field Template Tags:

  • {{lead.custom.[Custom Field Name]}} - Custom field value on a given lead page. Input the name of the custom field in the [ ] and the email will display the field value for the given lead.

Template Tags as Hyperlinks URLs

It is possible to include some template tags as the URL part of hyperlinks. This functionality is currently limited to fields without spaces or special characters in their names. It should work for all fields except for custom fields whose names contain spaces or non-alphanumeric characters.
